These website terms and conditions aim to make Badgebase an easy and safe place to trade. They contain the entire agreement between You (the Customer) and Us, Badgebase Ltd. (the Company) relating to your purchase from us at www.badgebase.com  You are responsible for reading all information in these terms and conditions fully.

Badge Base Ltd will NOT undertake any work which we feel is inappropriate or shows any infringement of

​By placing an order with us you agree to the following terms and conditions:

Our registered office is in London. We do not currently offer a customer collection service at our premises. All communications should be made via our Contact form or telephone or via our Social Media. It is our policy to respond to all communications within 24 hours (Monday-Friday) – in reality this happens far more quickly.

1.  General

1.1 The laws of England and Wales govern these terms and conditions. By accessing this website and buying our products you consent to these terms and conditions and to the exclusive jurisdiction of the English courts in all disputes arising out of such access. If any of these terms are deemed invalid or unenforceable for any reason (including, but not limited to the exclusions and limitations set out below), then the invalid or unenforceable provision will be severed from these terms and the remaining terms will continue to apply. Failure of the Company to enforce any of the provisions set out in these Terms and Conditions and any Agreement, or failure to exercise any option to terminate, shall not be construed as waiver of such provisions and shall not affect the validity of these Terms and Conditions or of any Agreement or any part thereof, or the right thereafter to enforce each and every provision. These Terms and Conditions shall not be amended, modified, varied or supplemented except in writing and signed by duly authorised representatives of the Badgebase Ltd.

1.2 It is unlawful to reproduce a Badgebase Ltd. product, photograph, illustration or website without written permission from the company.

1.3 You must ensure that you have all necessary permissions when submitting a design for manufacture and have checked in advance that you are not infringing the Intellectual Property of another entity. In giving Badgebase permission to use a design (to create any given type of bespoke product), we accept your artwork on the understanding that you have obtained the necessary permissions.

1.4 Badgebase Ltd. uses WorldPay for online credit/debit card payments and does not store any credit card information. WorldPay will not pass any of your personal information, including credit or debit card information to any third party.

1.5 It is your responsibility to ensure that the details which you provide to us for the purpose of ordering goods are correct and that the credit/debit card account has sufficient funds to cover the cost of the order.


2.  Delivery

2.1 Badgebase has a clear and transparent lead time policy, details of which are found on our product pages and discussed direct with our client during enquiry and confirmation of order where we then issue a provisional delivery date.

2.2 All delivery charges are advertised clearly on our website and are accepted as soon as an order is placed.

2.3 Badgebase ships via Royal Mail and DHL Express (UK and Worldwide). Details can be found on our Delivery page.

2.4 If for any reason there is going to be a delay in processing your order (non-processed goods), then we will contact you immediately, where you can exercise your right to cancel your order if you so wish.

2.5 Badgebase Ltd. is not liable to process a refund for any order which is subject to postal delays and therefore arrives late. All items shipped by Badge Base are via a tracked service.

2.6 If you have a deadline which is close the delivery date we give you upon receipt of payment, it is your responsibility to inform us of this date at the time of payment and noting the terms on our Proof Sign-off form.  

3.  Returns/Replacement Policy

3.1 PRINTED, EMBROIDERED OR PROCESSED (bespoke/customised/personalised) GOODS WILL NOT BE ACCEPTED BACK FOR REFUND OR RETURN UNDER ANY CIRCUMSTANCES. All bespoke products are manufactured as closely as possible to the artwork supplied in line with the possibilities that the manufacture process allows. For example, small text areas may fill in when printing Button Badges or metal may fill in slightly in the smallest areas of artwork in the case of producing Enamel Pin Badges. We reserve the right to make any changes at manufacture to ensure we can create the very closest alignment to the original artwork. Should there be any defect caused during the production of a bespoke product which renders the product faulty (please note ‘faulty’ does not include changes which have to be made during manufacture to accommodate production methods), you must inform us within 24 hours of delivery. We will review the fault/issue in a timely manner and where a fault in manufacture is found we will replace the same product at no additional cost and this includes the cost of return shipping to Badgebase Ltd. which we will undertake.


3.3 Upon receipt of the delivery of non-processed goods, the customer must inspect the goods and notify us within 24 days of any problem arising, whereupon we will issue return authorisation and details.

3.4 Return of non-processed goods must be received within 5 days of notifying us (within 24 hours of receipt). Tracking details must be supplied by the customer when returning goods.

3.5 All fees for the return transportation of non-processed goods are non-refundable

3.6 Faulty goods: If there is a problem with your Custom/Personalised/Bespoke order, please contact us within 24 hours of delivery. We will deal with the matter in accordance with your legal rights. This means we will replace or repair the same product where the fault is as a result of a manufacture defect.

3.7 Where a processed (bespoke/customised/personalised) product/s is faulty we will replace or repair the product to the original specification. (please see 3.1).

3.8 Where the product/s are faulty as a result of the customer submitting incorrect information at the time of ordering or for failing to submit any or all of the required information for personalisation of the product, Badgebase Ltd. will not be liable for replacement of the product/s. (See also 1.5)

3.9 We can only accept returns of non-processed products in their original condition and packaging within 30 days of the original order being placed.

3.10 If the order sent to you is the result of our mistake, Badgebase Ltd. will cover the cost of sending you the necessary products in order to rectify the order. Please note, this does not apply to processed goods (customised/personalised) unless we have made an error, in which case we will repair/replace the product. We do not refund Custom/Personalised/Bespoke orders.

4. Quality Assurance Standards for Badges (bespoke)

Enamel: The manufacture margin for satisfactory finishing is as follows:

  • Small areas of
    • bubbling, uneven or overflow of enamel
    • thin enamel
    • missing enamel where the finishing process of the badge may remove tiny spots of enamel
    • dust fibres
  • Colours
    • If a Pantone colour is not supplied, colours in the original artwork are matched as closely as possible to the nearest available Pantone and are accepted when you sign-off of the digital proof. We recommend you check the colour at https://store.pantone.com/uk/en/color-finder
  • Re-orders
    • …may differ to a previous order

Enamel: The manufacture margin for unsatisfactory finishing is as follows:

  • Chipped enamel
  • Missing enamel (where the space for the enamel is of sufficient size to easily fill)

Print: The manufacture margin for satisfactory finishing is as follows:

  • Small areas of print may fill in
  • Re-orders may differ to a previous order

Metal Plating and Polishing: The manufacture margin for satisfactory finishing is as follows:

  • Light scratches caused by the polishing process
  • A slight variation in the metal plating colour to a previous order
  • Re-orders may differ to a previous order

Metal Plating and Polishing: The manufacture margin for unsatisfactory finishing is as follows:

  • Large areas of blemished/tainted metal
  • Areas of metal without plating

Fasteners: The manufacture margin for satisfactory finishing is as follows:

  • A small change to the placement of the fastener against the Digital Proof
  • The placement fastener is slightly off centre/not straight
  • The safety pin fastener on our button badges can be rotated to the desired position if not aligned correctly
  • Re-orders may differ to a previous order

Fasteners: The manufacture margin for unsatisfactory finishing is as follows:

  • The placement of the fastener causes the badge to hang upside down

5. Cancellation and Returns
5.1 This policy does not apply to the following goods, which are exempt from the right to cancel: All Personalised Goods (Custom/Personalised/Bespoke).  (Please see 3.1 Faulty goods)

5.2 If the items in your order (refers to non-processed goods) are accepted, opened and used, then Distance Selling Regulations will apply.

5.3 For a Custom/Personalised/Bespoke Order where an order is cancelled before we have started production, our admin. and design charge is £30.00+VAT.

5.4 We do not refund for Custom/Personalised/Bespoke Orders. Where an unexpected delay occurs which is beyond our control, we will inform you of this and provide you with a re-scheduled dispatch date.

5.5 You can cancel your order of non-processed goods at any time up to 7 working days after the day of delivery. To do this, please e-mail us or write to us. This does not apply to any product where artwork has been produced and signed off to go to production, by the client. Non-processed goods mist be returned within 5 business of informing us and a refund or part refund will be made based upon the condition of the product once we are in receipt of it. Returns MUST be sent via a tracked or confirmed mail service and Badgebase is not liable for the refund of these costs or the refund of the original shipping cost.

5.6 You do not have to give any reason for cancellation. However, a brief explanation will help us to improve the service we offer to customers in the future.

5.7 If you cancel, you must return the goods to us at your own expense. You must also ensure that the goods are packaged adequately to protect against damage and that a tracked or confirmed shipping service is used. A refund (of the non-processed goods is made once we have received the return of the goods and inspected them. Refunds are processed quickly and take 5-7 working days to be returned to the account or card from which payment was made.

5.8 This cancellation policy does not affect your legal rights — for example, if goods are faulty or if we make a mistake with your order.

5.9 Occasionally we offer items as Sale or Return by prior agreement with a client. Where this is the case, returned items must be in the point of sale bags supplied by us, unopened and unused to allow us to recycle parts for sale. The cost of postage for Sale or Return items must be covered by the customer and we recommend sending as Recorded Delivery as in the case of a package going missing in the mail, the full cost of our Sale or Return invoice will apply to the client.

6.  Payment Terms
6.0 Payment is via BACS or by Card. Payment of our invoice total is made at point of order. At our discretion the following terms may apply:

  • Payment of invoice total at a date before we ship the order

For orders of £2000.00+ our payment Terms are:

  • 50% of invoice total at point of order; the balance payable before we ship the order

At our discretion the following terms may apply for orders of £2000.00+:

  • 50% of invoice total at point of order; the balance payable within 5 days of receipt of goods
  • 50% of invoice total at point of order; the balance payable within 30 days of our invoice date

6.1 Title does not pass until goods are paid for. If there is an instance where we (Badgebase Limited) have produced a product under special agreement with you (the client) and the payment is defaulted over, we reserve the right to sell the item/items produced in order to recover some or all of our costs.


6.2 Refunds for non-processed goods are issued in the same way that payment was made. For bespoke goods, see 3.10.

6.3 You will be notified of the refund by email. The refund may come either direct from Badgebase Ltd. in the method by which payment was made.

6.4 Following receipt of the returned product (non-processed items only), refunds take up to 14 business days (Monday-Friday) to be processed by Badgebase and may then take up to a further 5 business days for your bank to process before funds become available in your account – according to the method of original payment. We do however reserve the right to refund you within 30 days of the return of the product.

7.  Product Images & Specifications

7.1 Whilst we endeavour to ensure all images and product information displayed on our website is correct at the time of publication, the final product may vary slightly due to the nature of the design, limitations within the manufacture process in the case of bespoke products, changes to components by our suppliers and elements supplied by you for personalisation and the creation of a bespoke product. (Please read in accordance with 3.1)

8.  Copyright Notice
8.1 Copyright and other relevant intellectual property rights exists on all text, graphics, photographs, logos, button icons and products relating to the services and products of Badgebase along with the full content of this website.

8.2 The Badgebase logo and Badgebase Bob are registered trademarks of Badgebase Limited in the United Kingdom. The brand names and specific services of Badgebase featured on this web site are trademarked.

9. Privacy Policy

9.1 Badgebase Ltd. is committed to protecting the privacy of all people who visit out site. By placing an order with Badgebase Ltd. you consent to the collection and use of your information under the terms and conditions of this site.

9.2 The information you supply us with will enable us to provide you with access to all parts of our website and to supply the products you have ordered. It will also enable us to invoice you and to contact you where necessary concerning your order. We will also use and analyse the information we collect so that we can administer, support, improve and develop our business.

9.3 We may use your information to contact you for your views on our services and to notify you occasionally about important changes or developments to the website or our products and services. In addition, we might also use your information to let you know by email about other products and services which Badgebase Ltd. offers now or in the future which may be of interest to you.

9.4 We do not pass any of your information to any third party and as Badgebase Ltd. uses PayPal for online credit/debit card payments we do not store any credit/debit card information.

9.5 Our card payment processor, WorldPay will pass any of your personal information, including credit or debit card information to any third party.

9.6 If you change your mind about being contacted in the future, please let us know Contact Us

9.7 We may use a photograph of your product on our website.

10.1 Like most interactive web sites the Badgebase website uses cookies to enable us to retrieve user details for each visit. Cookies are small amounts of information which we may store on your computer and are used in some areas of our site to enable the functionality of this area and facilitate ease of use for those people visiting. Cookies also allow us to monitor website traffic and to personalise the content of the site for you to ensure visitors get maximum use and function from our site. 11.  Notification of Changes

11.1 Badgebase Ltd. reserves the right to change these conditions from time to time as it sees fit and your continued use of our website will signify your acceptance of any adjustment to these terms. If there are any changes to our privacy policy, we will announce that these changes have been made on our Blog  page. If there are any changes in how we use our site customers’ Personally Identifiable Information, notification by e-mail or postal mail will be made to those affected by this change. Any changes to our privacy policy will be posted on our web site 30 days prior to these changes taking place. You are therefore advised to re-read this statement on a regular basis.

12. Badgebase Promotional Products
​The information in this section refers to our Promotional Products website www.badgebase.co.uk and the points below work in conjunction with our full Terms & Conditions on this page.

We cannot be held accountable for any errors that your order may contain. Our processes are fully automated so please ensure all data and artwork is correct before submitting your order. You will receive an automated response that the order has been received. If you do not receive this response you must assume there has been a communication error and your order must be re-sent.

  • All orders are for one position printing only in the position displayed on your order. If you require additional print areas please communicate this through email info@badgebase.com
  • All laser engraved orders will show the base metal colour when engraved. Chemical blacking may be available at extra cost.
  • All printing will be carried out with a digital system based on CMYK. This is a medium resolution printing system. Please do not expect high resolution photographic quality images normally associated with lithographic printing. Samples are available on request.
  • Exact colour matching is not possible with any CMYK system so please bear this in mind when submitting your order.
  • Our normal service is 5 working days to dispatch from receipt of all information.
  • All orders for each customer will be consolidated into one single invoice at the end of each month.
  • Customers with credit facilities must settle their account within 30 days from receipt of invoice.
  • Where we supply goods that are printed over the standard minimum order quantity, we reserve the right to supply 5% above or below the quantity ordered by yourselves. We will make every endeavour to supply the exact quantity ordered but you must accept that excess material has to be printed to compensate for wastage and this cost of wastage is not included in any quotation. You must pay for any quantity of goods in excess of the ordered quantity at the same unit price as the main order. You will not be required to pay for any wastage below the ordered quantity and will only pay for the quantity dispatched and at the unit price of the whole order.
  • Please notify us of any returns of goods within 3 working days after delivery. You must request this service via emailing us at info@badgebase.com

13.  Changes to these terms
13.1 Our current terms were agreed on 01/11/2018.

14. These terms and conditions form part of the Agreement between the You (the Customer) and Us, Badgebase Ltd. (the Company). Your use of this website and/or purchase of our product/s, indicate your understanding, agreement to and acceptance of the Disclaimer Notice and the full Terms and Conditions contained herein. Your statutory Consumer Rights are unaffected.
